field & barn · information
Privacy Policy
This notice describes information handled by the Field & Barn app-based AI farm adviser, built for small family farms that cannot afford a consultant. Details that still need a decision are labelled for owner input below.
Effective date: owner confirmation required. Field & Barn is the product name shown on the site. The legal controller or contracting party has not been confirmed for this notice.
Information the app handles and why
The current app flows handle these categories for the purposes listed here:
- Account and access: account name, email, login records and session data. Session records can include IP address and user-agent fields. These support account access and signed-in features.
- Farm profiles: farm name, region, soil type, acreage (stored in hectares), crops and livestock. The adviser uses the relevant profile to add farm context, and the app keeps farm-linked history.
- Advice and media: anonymous and signed-in question-and-answer history; signed-in photo attachments; optional voice recordings and returned transcript drafts; generated reply-audio URLs and playback details; and optional feedback on an answer. These support advice, history and follow-up. Saved feedback may be included in later guidance for that same farm.
- Contact enquiries:contact name, email, region and message, so Field & Barn can respond to an enquiry.
- Consultation bookings: requested date, booking notes, the linked active farm, booking status and payment status, to handle a consultation request and its payment.
- Subscriptions and checkout: customer email, selected plan, checkout identifiers and subscription status, to set up and manage a subscription.
- Referrals: referral codes, who referred whom, and reward status, to attribute referrals and track rewards.
Anonymous chat currently accepts text questions without a farm profile or photo. Signed-in chat can use the selected farm profile and, when supplied, a photo attachment.
Where information goes
- AI adviser: an anonymous request sends the question and recent anonymous conversation context to the Polsia AI proxy. A signed-in request can also send the relevant farm profile, recent conversation context and any attached photo. Photos are uploaded to Polsia file storage and their returned URLs are used with the advice request. The app saves its own chat turns and attachments as records; proxy processing is a separate flow.
- Voice notes:a signed-in recording is uploaded to Polsia file storage and sent to the Polsia transcription proxy. OpenAI processes the audio outside the EU. The returned text is saved by Field & Barn as a transcript draft that the user can review and edit. It reaches the adviser only after the user presses Send. The Polsia proxy retains completed transcription jobs and their text for seven days, then deletes them. That proxy period does not set the retention period for Field & Barn's saved draft or the separately uploaded recording.
- Generated reply audio: when requested, reply audio is generated through the Polsia text-to-speech proxy; the app stores the returned audio URL and duration with the advice record for playback.
- Payments:subscription and consultation flows send the selected amount and customer email to Polsia's Stripe billing integration, which redirects the user to Stripe-hosted Checkout. Eligible subscribers are sent to Stripe's hosted customer portal for billing management.
- Contact enquiries: the app saves the contact message and attempts to record it in the Polsia dashboard. If dashboard recording does not succeed, the app attempts a notification email to the company inbox.
This description is limited to the integrations visible in the app. It does not make a claim about general model training, sale of information or use across farms; those provider practices need confirmation before any claim is made.
Cookies and analytics
- fieldbarn_advisor: a first-party, HttpOnly quota-session cookie used to recognise an anonymous adviser session and its five-question allowance. It is set for up to 90 days. The anonymous questions and answers are stored separately in the app. Cookie expiry does not itself delete those app records.
- steady-region:a first-party cookie that remembers the visitor's display region for up to one year. It changes regional display choices, not a saved farm profile.
- Analytics: the app mounts its Polsia analytics component only when deployment configuration supplies
POLSIA_ANALYTICS_SLUG. The complete event, cookie and retention inventory is not confirmed here.
Account sign-in and hosted provider pages may also use cookies. Their complete inventory and settings need confirmation; no claim is made here that the two named cookies are the only cookies in every deployment.
